Camera ready instructions

Final “Camera Ready” Submissions (DEADLINE: April 2, 2025)

Please note that substantial changes to the reviewed paper are not allowed, except for those that address specific reviewers’ comments and improve the paper. We reserve the option to use the accepted version of your paper if we feel that the updated version differs substantially from what was accepted.
You are allowed a total of 6 pages for your paper. The template of the paper must be the same as the one used for submission.

Author List: The authors on the camera-ready document must exactly match in number and order the authors typed into the online submission form. All contributors should have been identified at the time of submissions, and adding/removing author after acceptance is not permitted.

Authors of accepted papers are required to:

  1. Make any and all necessary outlined by reviewers
  2. Add all author information per IEEE Format A4 Template, Letter Template
  3. Convert Word document into PDF using IEEE PDF Xpress (step-by-step instructions can be found in the below section)
  4. Register to attend ICME 2025
  5. Complete, Sign, and Submit the IEEE eCopyright Form in CMT (step-by-step instructions can be found below)
  6. Rename in the following format: Paper# X_Title.pdf
  7. Upload the paper to the “Camera-Ready” Submission page in CMT (step-by-step instructions can be found below)

Authors of papers submitted to the ICME 2025 main conference track must complete all of the requirements outlined above and be registered for ICME 2025 by April 25, 2025. Any main track papers that are not covered by a registration by April 25, 2025 may be withdrawn. For more information, please see the ICME 2025 Registration Webpage.

Generate an IEEE Xplore-compatible manuscript using PDF Xpress

All final manuscripts must be generated using the PDF Xpress tool.

To generate the IEEE Xplore-compatible PDF file of your paper, follow these steps:

  • Create your IEEE PDF eXpress account: https://ieee-pdf-express.org/
  • Conference ID: 59968X
  • The first time you access the system, please follow the link “new user”. Please note that in order to access the service, you need to allow the use of cookies from the PDF eXpress website. Once registered as a new user, upload the source file (containing your paper) for conversion.
  • Receive by e-mail the IEEE Xplore-compatible PDF of your paper.

IEEE eCopyright Submission Instructions

How to Submit IEEE eCopyright Form in CMT

  1. Log into your CMT Account to access your ICME 2025 Author Console.
  2. Click the Submit IEEE Copyright Form link in the “Actions” Column 

3. Click the link to be redirected to the IEEE Copyright website 

4. Fill out the required form and Download the PDF Copyright File

5. Return to the ICME 2025 CMT site and upload your completed IEEE Copyright PDF File. Hit Save.
